Key Responsibilities

As a Customer Service Representative at careerzynith, your primary responsibility is to deliver an outstanding service experience to every customer, patient, healthcare provider, and business partner who contacts our organization. Your day-to-day duties will include, but are not limited to, the following:

  • First-Point-of-Contact Service Excellence: Serve as the welcoming voice and face of careerzynith, providing exceptional service as the initial point of contact for all inbound customer inquiries received via phone, fax, e-Commerce platforms, and in-person visits. Establish a positive first impression that reflects the professionalism and compassion of our organization.
  • Order Processing and Request Management: Receive and process customer requests from multiple sources, including telephone calls, electronic communications, faxed documents, online orders, and walk-in customers. Accurately document all requests and complete the necessary workflows to ensure prompt fulfillment of equipment services.
  • Home Equipment Service Coordination: Coordinate all home equipment service requests with our Dispatch department to ensure timely and accurate delivery. Communicate effectively with logistics teams to track deliveries, confirm appointments, and resolve any scheduling concerns that may arise.
  • Customer Inquiry Resolution: Take customer orders, answer questions about products and services, handle complaints with empathy and professionalism, and troubleshoot problems until satisfactory resolution is achieved. Employ active listening techniques to confirm understanding, clarify ambiguous information, and diffuse situations involving upset or frustrated customers.
  • Product and Service Information: Provide customers with comprehensive, accurate, and up-to-date information about careerzynith's products, services, pricing, and policies. Educate customers on equipment use, care, and maintenance as appropriate, and make recommendations for complementary products or services that may benefit their unique situations.
  • Insurance Verification and Documentation: Maintain current knowledge of Medicare, Medicaid, and third-party payor requirements for durable medical equipment. Verify medical necessity, confirm insurance coverage, validate physician orders, and ensure all required documentation is complete and accurate for insurance-assigned services. Follow established policy and work instructions to ensure the Billing Department receives correct paperwork for clean claim submission.
  • Performance Metrics and Quality Standards: Understand and consistently strive to meet or exceed department performance metrics, including call handling time, resolution rates, customer satisfaction scores, and order accuracy. Balance efficiency with the delivery of excellent customer service on every interaction.
  • Cross-Functional Collaboration: Work collaboratively with internal departments, including Dispatch, Billing, Sales, and Clinical teams, to ensure seamless service delivery and customer satisfaction. Communicate clearly and professionally with both internal and external customers at all times.
  • Sales and Recommendation Support: Identify opportunities to recommend additional products or services that may complement a customer's existing equipment or care plan. Make appropriate referrals to specialists within careerzynith when customers would benefit from expert consultation.
  • Continuous Improvement: Participate in training sessions, team meetings, and quality improvement initiatives. Stay informed about changes in healthcare regulations, insurance requirements, product offerings, and company policies to maintain expertise in your role.
  • Other Duties as Assigned: Perform additional tasks and responsibilities as assigned by management to support the overall success of the customer service department and careerzynith as a whole.

Essential Qualifications and Requirements

To succeed as a Customer Service Representative at careerzynith, candidates must possess the following foundational qualifications:

  • Educational Background: A high school diploma or general education degree (GED) is required. Additional coursework or certification in healthcare administration, medical billing, customer service, or a related field is a plus.
  • Customer Service Experience: A minimum of six months of relevant customer service experience is preferred, though we also welcome motivated candidates who demonstrate strong potential and a passion for helping others.
