Job Responsibilities

As an Experienced Administrative Assistant – Data Entry & Operations Support, you'll be responsible for providing high-level administrative support to our leadership team. Your duties will include:

  • Providing administrative assistance to senior leaders, including scheduling appointments, preparing correspondence, and coordinating travel arrangements
  • Managing and maintaining accurate and up-to-date records, databases, and spreadsheets
  • Coordinating and planning events, meetings, and conferences, including arranging logistics, catering, and audio-visual equipment
  • Developing and implementing effective administrative systems and processes to improve efficiency and productivity
  • Providing exceptional customer service to internal and external stakeholders, including responding to inquiries, resolving issues, and escalating concerns
  • Maintaining confidentiality and handling sensitive information with discretion and professionalism
  • Collaborating with cross-functional teams to achieve shared goals and objectives
  • Staying up-to-date with industry trends, best practices, and new technologies to continuously improve administrative processes and services

Essential Qualifications

To be successful in this role, you'll need:

  • A high school diploma or equivalent, with a minimum of 2 years of experience in an administrative support role
  • Excellent communication, organizational, and time management skills, with the ability to prioritize tasks and meet deadlines
  • Proficiency in Microsoft Office 365, including Word, Excel, PowerPoint, and Outlook
  • Experience with data entry, record-keeping, and database management
  • Strong customer service skills, with the ability to provide exceptional service to internal and external stakeholders
  • Ability to work independently and as part of a team, with a high level of flexibility and adaptability
  • Strong problem-solving and analytical skills, with the ability to think critically and creatively

Preferred Qualifications

While not required, the following qualifications would be an asset:

  • Bachelor's degree in Business Administration, Communications, or a related field
  • Experience with virtual meeting platforms, such as Zoom or Skype
  • Familiarity with project management tools, such as Asana or Trello
  • Certification in administrative support, such as Certified Administrative Professional (CAP) or Certified Office Manager (COM)
  • Experience working in a fast-paced, dynamic environment, with a high level of autonomy and independence
