Job Summary

We're seeking an experienced Administrative Assistant/Data Entry Specialist to provide business support and strategy to our HR, Finance & Administration department. As a key member of our team, you'll be responsible for managing complex data, performing data entry, and providing administrative and basic accounting support. Responsibilities

As an Administrative Assistant/Data Entry Specialist at careerzynith, you'll have the opportunity to:

  • Manage complex data and perform data entry, including QuickBooks, provider checks, and school district invoices
  • Identify process improvement opportunities to increase business efficiency and profitability
  • Manage accounts payable, including application of payments, contacting clients, and tracking the status of each account
  • Maintain accounting and business contract records
  • Categorize, sort, and manage incoming documents, client information files, and internal records
  • Reconcile financial documents, such as bank statements and credit card statements
  • Prepare and compile business reports and summaries on activity areas
  • Manage communications with internal and external stakeholders

Requirements

To be successful in this role, you'll need:

  • 1-2 years of experience in an HR role, business, office, or administrative support role
  • Proficiency with QuickBooks
  • Experience creating reports and managing large amounts of data/information
  • Experience with payroll and accounts receivable/accounts payable
  • Experience with process improvement and project management
  • Strong organizational and time management skills
  • Excellent communication and interpersonal skills
  • Ability to work in a fast-paced environment and prioritize tasks effectively

Preferred Qualifications

While not required, the following qualifications would be an asset:

  • Experience working in a hybrid remote setting
  • Familiarity with careerzynith's industry and services
  • Certification in accounting or bookkeeping
  • Experience with project management software and tools
