Position Overview The Front Desk Patient Coordinator plays a critical role in the daily success of our practice. This position serves as the first impression and primary point of contact for all patients and is responsible for creating a seamless, welcoming, and elevated patient experience. This role requires punctuality, reliability, and ownership, as you will be responsible for opening the office and setting the tone for the day. We are a fast-paced, growing medical aesthetics practice, so the ideal candidate thrives in a busy environment and enjoys being part of a team that is building and evolving together.

Key Responsibilities

Patient Experience & Professionalism

  • Greet and assist patients in person, by phone, text, and email
  • Deliver a consistently warm, polished, and professional experience
  • Uphold Lueur Aesthetics’ luxury standards in communication and appearance
  • Maintain strict HIPAA compliance and patient confidentiality

Office Opening & Daily Operations

  • Open the office on time and prepare all patient-facing areas
  • Ensure front desk, waiting area, and treatment spaces are clean and ready
  • Power on and verify all systems (phones, EMR, computers, devices)
  • Review daily schedules and coordinate with providers for smooth flow

Scheduling & EMR Management

  • Schedule, confirm, and manage patient appointments accurately
  • Complete intake forms, consents, and documentation in EMR
  • Capture and upload before-and-after photos as needed
  • Maintain accurate, organized, and confidential patient records

Administrative & Operational Support

  • Maintain an organized, efficient front desk environment
  • Assist with inventory tracking and supply coordination
  • Support marketing efforts (email/text campaigns, promotions)
  • Communicate clearly with providers and team members

Practice Growth & Patient Education

  • Educate patients on services, skincare, memberships, and promotions
  • Support a smooth experience during busy clinic hours
  • Adapt quickly in a fast-paced, growing practice

Preferred Qualifications

  • Experience in a medical spa, aesthetics, or healthcare setting (strongly preferred)
  • Experience working in a fast-paced environment
  • Familiarity with EMR systems (Aesthetic Record experience is a plus)
  • Sales or patient conversion experience preferred
