Job Purpose and Role The Virtual Assistant Representative is responsible for providing remote administrative and front-desk support to medical practices. This role serves as a key point of contact for patients and healthcare providers by managing calls, scheduling appointments, verifying insurance coverage, maintaining accurate patient records, and supporting day-to-day practice operations.

Key Responsibilities

Manage inbound and outbound patient calls in a professional and courteous manner. Schedule, confirm, reschedule, and cancel patient appointments as needed. Verify patient insurance eligibility, benefits, and coverage details. Process and follow up on prior authorization requests with insurance carriers. Enter and maintain accurate patient information within the Electronic Medical Records (EMR) system. Assist with patient collections, including discussing balances and processing payments when applicable. Respond to patient inquiries and provide timely support regarding appointments, billing, and general practice information. Maintain confidentiality and comply with HIPAA and other healthcare privacy regulations. Document patient interactions and update records accurately and promptly. Coordinate with healthcare providers and practice staff to ensure seamless patient care and workflow. Meet productivity, quality, and customer service standards established by the company and client practices. Perform administrative and other clerical tasks as instructed by Supervisor to support daily practice operations.

Qualifications

Associate's or bachelor's degree in any related field Previous experience in a healthcare, medical office, customer service, call center, or virtual assistant role preferred. Experience working with Electronic Medical Records (EMR/EHR) systems is an advantage. Knowledge of medical terminology, insurance verification, and prior authorization processes is preferred. Strong verbal and written English and Spanish communication skills. Excellent customer service and patient interaction skills. Strong attention to detail and organizational abilities. Ability to multitask and manage competing priorities in a fast-paced environment. Proficiency with Microsoft Office, Google Workspace, and web-based applications. Ability to work independently in a remote environment while maintaining productivity and accountability. Reliable high-speed internet connection and a professional home office setup.
