Operational Excellence Manager (m/f/d)

Work from home Full-time role Hiring

Your mission As an Operational Excellence Manager, you work closely with the COO to ensure that operational processes, strategic initiatives, and cross-functional projects are clearly structured and consistently executed. You analyze workflows, identify bottlenecks, develop scalable standards, and actively drive key initiatives forward. In doing so, you create transparency, focus, and execution speed in a growing organization. In detail, this means: You are responsible for identifying process gaps, inefficiencies, and bottlenecks, and deriving concrete improvement measures as well as use cases for AI agents. You design and document clear target processes, roles and responsibilities, handovers, and standards. Setting up and managing project plans - including target state, scope, milestones, timelines, risks, and decision requirements - is part of your day-to-day work. You facilitate alignment across departments and track actions, decisions, and open items. You prepare decision-making materials, management updates, and structured communication for the COO and relevant stakeholders. You support the development of a scalable operating system for the company’s next growth phase. You help introduce the right tools, templates, dashboards, routines, and AI agents to improve transparency and execution speed. Your profile You have experience in Operations, Operational Excellence, Consulting, Project Management, Process Management, or a comparable role in a dynamic environment. You bring a strong understanding of scaling organizations, operational processes, interface management, and KPI-driven steering. You stand out through your strong analytical and structuring skills, with the ability to quickly translate complex topics into clear decision-making and execution logic. You have solid project management expertise, including roadmaps, milestones, risk management, and stakeholder communication. You demonstrate a high level of execution strength, reliability, and ownership, and enjoy driving topics forward in a visible and impactful way. You excel through strong communication skills and confidently collaborate with the COO, leadership team, and operational teams. You are proficient with common tools for project management, documentation, data analysis, and reporting (e.g. Asana, Notion, Jira, Google Workspace, Excel/Sheets, or BI tools), and have already gained experience using AI agents in an organizational context. Your personality is further characterized by: A pragmatic, solution-oriented, and hands-on mindset. A structured, reliable, and detail-oriented way of working, without losing sight of the bigger picture. Strong communication skills and the ability to create impact even without formal authority. Comfort in highly dynamic environments with shifting priorities and ambiguous starting points. A strong motivation to help scale an organization by improving processes, clarifying projects, and driving focused execution. Why us?
